Agency & client management
Run AI visibility for several clients from one login, with a rebate on every client project
Agencies and consultants run GEOflux for many brands at once. On an agency account, each client brand is its own project, with its own prompts, competitors, plan and data, all under one login. You switch between clients from the brand selector, give each client access to their own project only, and win new ones with pitch reports.
You choose this at signup: on Who are you tracking for?, pick My clients' brands and add your agency's name and website. See the Quickstart.
The Agency section
On agency accounts, the sidebar section for Admins and the owner is called Agency. It holds My agency, Users, Projects and Pitch reports. See Find your way around.
My agency
Your agency's own details, used wherever GEOflux names you rather than a client: Agency name, Agency website, and an optional Phone number your clients can reach you on. My brand always describes the client project selected in the sidebar, never the agency. Only Admins and the owner can change these details.
Projects
Projects shows a card for every project you have access to, with its mentions, cited sources and number of active prompts, its sentiment, and its status: Active, Pending, Cancelled or Payment failed. Click a card to open that project's dashboard. Filter by:
- Ownership: Owned (projects you reach through agency-wide access), Invited (projects you were invited to individually), or All.
- Status: Active, Inactive or All.
Adding a client project
- Click Add project on Projects, or Add new project in the brand selector.
- Brand: the client's brand details.
- Plan: pick the client's plan, monthly or yearly, with a side-by-side comparison of what each includes.
- Partner discount: Your agency rebate on this client's subscription (see below), with what you are billed and what you can charge the client.
- Preview: review the new subscription and click Confirm subscription.
Adding a project needs a payment method on file. On a card-free trial, Projects shows Add payment method instead; your trial keeps its remaining days and nothing is charged until it ends. On Free, it shows Upgrade to add projects. Read Only users cannot add projects.
Then set up the client's prompts, competitors and topics as in the Quickstart, and plan the set with Build a prompt plan.
The agency rebate
Every client project you add, from Add project or by converting a pitch, gets a rebate:
- 35% off the plan price on every invoice, monthly or yearly, with no end date,
- until the rebate adds up to $700 for that client project. After that, the project is billed at the full plan price.
You are billed at the reduced rate and can charge your client the full plan price; the difference is your margin. The rebate appears as a line on the Upcoming Invoice tab, and notes when the $700 total has been reached. The first client project, created when you sign up, has no rebate.
Billing
Your client projects are billed together on one subscription per billing cycle, with each project as its own line. Credits are never pooled: each client project has its own plan and credit balance, and the Subscription page shows the project selected in the sidebar. To give a client more capacity, upgrade that project's plan or buy credit packs for it. See Billing and credits.
Giving your team and clients access
When you invite someone from Users, choose an Access type:
- Only invite to this brand: access to the project selected in the sidebar. For clients, usually as a Read Only User, so they see their own data and nothing else.
- Invite to all my brands: access to every project under the agency. For your own team.
See User management.
Reporting to clients
- Shared reports: a read-only report at a link, in English, Spanish or Romanian, with no GEOflux sales messages. Use a custom date range for each monthly report.
- Chart notes: note the work you did, with Show in shared reports on, so the report explains its own movements.
- Watchlists: a recurring email on the sites you are working on, sent straight to the client.
- Summary emails: a client invited to their project gets the weekly and monthly visibility summaries automatically.
Good practice
- Same setup for every client. One topic structure, Buyer Journey and Branded vs Non-branded on every prompt, one headline scope. Then every client's report reads the same way, and a junior can run it.
- Size the set at proposal time. The prompt count is the scope of the engagement; agree it before you import. See Build a prompt plan.
- Baseline before you improve. Run 30 days, save a shared report with a fixed date range, then start the work. Improvement against an unmeasured start cannot be shown.
- Open with a pitch. A week of the prospect's real answers sells better than any deck. See Pitch reports.
