Add and manage prompts

Add, import, review and archive the questions GEOflux tracks for you

A prompt is a question GEOflux asks ChatGPT, Gemini and Perplexity on your behalf, written the way a buyer would ask it: "What CRM should a 10-person agency use if we mostly need pipeline tracking and email sync?", not "CRM software". Every number in GEOflux is computed from the answers to your prompts, so this is the one setup that decides what everything else means.

This page covers the mechanics: adding, importing, organizing and archiving. For deciding what to track and how much, read Build a prompt plan.

Adding prompts

On Prompts, click Add prompt at the top right of the Active tab. Before you track your first prompt, Add your own prompt on the Overview opens the same window. It has two tabs: Add prompts and Import CSV.

Typing prompts

Type one prompt per line. As you type, GEOflux counts the prompts and flags any line that is too short (under 4 words) or too long (over 200 characters).

You can set, for the whole batch:

  • Topic: pick one or type a new name to create it.
  • Tags: up to 10. Buyer Journey and Branded vs Non-branded do not count toward the 10.
  • Buyer Journey: Discover, Evaluate or Buy.
  • Branded vs Non-branded: Branded if the prompt names your brand or a competitor, Non-branded if it names no brand.
  • Personas: up to 10. Not available on Free.

Every line gets the same values, and all of them are optional and can be changed later. If one batch needs different topics or steps, add it in two goes, or use a CSV.

Each prompt holds 3 credits, one per answer from ChatGPT, Gemini and Perplexity, plus 3 for every persona attached to it. The button shows what you are about to spend, for example Add 8 prompts (24 credits), and is disabled when you do not have enough. With no credits left at all, both tabs say so and link to billing. A prompt with exactly the same text as one you already track is turned down, and the window lists the lines it could not add (the first five, then a count), with the reason. See Billing and credits.

Suggested prompts

GEOflux researches your website and category and proposes prompts that the engines answer with brand names. They appear on the Suggested tab of the Prompts page.

  • Track files a suggestion under its suggested topic, uses its credits and sends it to the engines straight away. Dismiss moves it to the Dismissed tab, where Bring back returns it. Select several to use Track selected or Dismiss selected.
  • Suggestions never name your brand and never carry personas. Add personas after you track a prompt.
  • They take your tracked competitors, personas, existing prompts and topics into account, and are written in the language of your project's country.
  • On a new project, the first suggestions are written in the background right after setup and appear within a minute or two.
  • After that, GEOflux tops the list up every day, up to 15 suggestions at a time. When there are none, the tab says to check back tomorrow.
  • Suggestions are written from your brand description. If GEOflux could not write any, describe what you sell on My brand and new ones follow overnight.

Treat suggestions as a draft to judge, not as your set. Keep the ones that read like a real buyer's question and fit a topic you care about.

Importing prompts from CSV

For a list you already have:

  1. Open Add prompt and switch to Import CSV. Download the template, or build your own file.
  2. Drag in your CSV, or browse for it. Up to 500 rows per file.
  3. Check the preview. It flags rows that are too short, too long or repeated within the file, shows the credit cost, and counts the rows with no Buyer Journey or brand type.
  4. Import. The summary lists any skipped rows with the reason, including prompts you already track.

The file needs a header row:

ColumnRequiredNotes
promptYesAt least 4 words, at most 200 characters
topicNoCreated if it does not exist yet
buyer journeyNoDiscover, Evaluate or Buy. The column can also be called stage
brand typeNoBranded or Non-branded
tag 1 ... tag 5NoUp to five tag columns

Column names and values ignore case, spaces and hyphens, so Non branded, non-branded and nonbranded all work. Older files that put Discover, Evaluate, Buy, Branded or Non-branded in a tag column still import: those values are read into the right field. If a value is unknown, or a row has two different values for one field, the preview says so and keeps at most one.

GEOflux refuses the whole file when you do not have enough credits for it, so check your balance first. CSV import creates base prompts only; attach personas from the prompts table afterwards.

The Prompts page

The page has four tabs, each with a count: Active (the prompts you track), Suggested, Archived and Dismissed.

The prompts table

On Active, the topic list on the left filters the table by topic. No topic appears there when some prompts have none. Add topic creates a topic; deleting one keeps its prompts and moves them to No topic.

For the period and filters in the top bar, the table shows each prompt's Visibility, Share of Voice, Sentiment and Mentions, its Tags, Persona, Buyer Journey and Branded vs Non-branded values, and the date it was Added. A toggle above the table switches Share of Voice between vs. all brands and vs. competitors. You can search, hide columns, and show 10, 25, 50 or 100 rows per page.

Above the table, chips such as 4 without Buyer Journey count the prompts missing a Buyer Journey or Branded vs Non-branded value. Those prompts drop out whenever you filter by that field, so click a chip to show only them, select them, and assign a value.

In a row:

  • + adds a tag or a persona; the x on a chip removes it. Adding a persona holds 3 credits and removing it gives them back.
  • Set or change the Buyer Journey and Branded vs Non-branded values directly.
  • Click the prompt to open its detail page.

Export downloads a CSV of every prompt matching your search, not only the page you see. It holds ID, prompt, the four metrics, tags, persona, Buyer Journey, Branded vs Non-branded and date added. It has no topic column, so it is not in import format: keep the CSV you imported as the master copy of your set.

Bulk actions

Select prompts with the checkboxes to Assign topic, Assign tags, Assign personas, Assign Buyer Journey, Assign Branded vs Non-branded, or Archive them.

  • Assigning Buyer Journey or Branded vs Non-branded replaces each prompt's value. Pick No step or No type to clear it.
  • Assign tags does not save if any selected prompt would end up with more than 10 tags.

Archiving, restoring and deleting

  • Archive (select prompts on the Active tab) stops tracking them and returns their credits: 3 per prompt plus 3 per attached persona. The confirmation shows the exact number. The prompt's history is kept but no longer counts in your stats.
  • Restore on the Archived tab, one row or several, starts tracking again and holds the credits again. It is disabled when you lack the credits, and refused if you already track a prompt with the same text.
  • Delete permanently (Archived tab only) erases the prompt and all of its answers. You confirm twice, the second time by typing the prompt. It cannot be undone and returns no credits, since archiving already did.

Archiving changes your numbers, because the prompt leaves the stats. Do it deliberately, ideally at a quarterly review, and never delete a prompt that was part of a baseline you report against.

Filters

On the Active tab the top bar offers Period, Brand, Engine, Tag, Buyer Journey, Branded vs Non-branded and Persona. See Filters and time periods.

Prompt warnings

Two markers can appear next to a prompt in the table, each with a matching banner on the prompt's detail page.

The "no brands" warning

The prompt's answers in the selected period name no brand at all, and the period covers at least 3 days of the prompt's life. The banner reads "This prompt may not be right for tracking brand visibility". Visibility, share of voice and sentiment are all measured from brand mentions, so a prompt like this cannot report on them. Rewrite it as a recommendation or comparison question ("which ... would you recommend for ...", "best alternatives to ...").

The "off-market" warning

The answers name brands, but over the last 7 days never yours or a competitor you track. The banner reads "No answer to this prompt mentions [your brand] or a competitor you track". If those brands are your competitors, track them. If not, the question is off-topic for what you sell: rewrite it or archive it. This check needs at least 3 answers, a prompt at least 3 days old, and at least one tracked competitor.

For the same checks across the whole project, open Tracking health in the top bar.

Writing effective prompts

The one test that matters: would a real person type this into ChatGPT, exactly like this? A prompt in your marketing language measures a conversation nobody is having.

  • Ask a full question, with context. Aim for 8 to 15 words and one intent. GEOflux requires at least 4 words and accepts up to 200 characters.
  • Use the buyer's words. "Best coffee machine for a beginner", never "precision-engineered home barista system".
  • Add the constraint a real person adds: budget, location, team size, experience. Constraints push the engine from explaining into recommending.
  • Keep brand names out, yours and your competitors', unless the prompt is a deliberate Branded one. You are measuring whether AI names you when nobody asked about you.
  • One prompt, one job. Two questions in one get one answer, and you will not know which.
  • Write in the market's language, in a project set to that country.

What happens after you save

A new prompt is sent to the engines within about a minute, typed or imported, and its first answers usually arrive within minutes. After that it is asked on your plan's schedule: daily on Starter, Growth and trials, every 3 days on Free. For each answer GEOflux records the brands named, the tone toward each, and the sources cited. See When data updates.

Then read the results on the Overview, or open one prompt for its full performance.
