Shared reports
Publish a read-only report of your AI visibility at a link anyone can open
A shared report is a read-only document of one project's AI visibility, published at a link you can send to anyone: your boss, a client, a stakeholder who will never log in. The reader needs no account, and sees a finished document rather than a dashboard to learn.
Reports are how most people outside your team will see GEOflux data, so they are built to be read: a written structure, in English, Spanish or Romanian, with your chart notes explaining what moved.
Live or fixed
A report shows its data through the filters it was shared with, and keeps updating as new answers arrive:
- With a preset period such as Last 30 days, the window keeps rolling. Good for a standing link a client can open any time.
- With a custom date range, the window is fixed. Good for a monthly report, a baseline, or a before-and-after you want to keep exactly as it was.
The report stops updating when its link is turned off or deleted, and when the project stops collecting (an ended subscription, or a paused Free account).
Share this view from the Overview
- On the Overview, set the filters you want the reader to see: period, engines, topics, tags, personas. See Filters and time periods.
- Click Share this view at the top of the Overview.
- Check the summary of the view. With no filters, the report covers every prompt, engine and persona on the project.
- Give it a Report name. Only your team sees it; it is how you tell reports apart.
- Pick the document the reader gets (see Layouts) and its language.
- Click Create report.
The next screen gives you the Report link, with Copy and Open, and a link to Manage shared reports.
A report is always about your own brand, so the Brand filter is not carried. Share is disabled on the Buyer Journey tab, and while a Buyer Journey or Branded vs Non-branded filter is set, because reports cannot carry those yet.
The Shared reports page
Shared reports (under Project in the sidebar) lists the reports of the selected project: Report name, Project, Shared view (the filters it carries), Link state and Created date. Create report here shares the whole project with no filters.
Each row's menu has:
- Copy link and View report. Copy link is disabled while the link is off.
- Report settings: rename the report, turn its link on or off, and change the shared view (Period, Engines, Topics, Tags, Personas) while the project is active. Changes apply to the link already sent. The language is set when you create the report and cannot be changed afterwards.
- Edit layout: open the report editor.
- Duplicate report: a copy to adapt for another reader.
- Turn link off / Turn link on: pause the link without losing anything. Readers of a paused link see "This report is no longer shared". Turning it back on revives the same URL.
- Replace link: issue a new URL. The old one stops working immediately for everyone it was sent to. Use Turn link off if you only want to pause.
- Delete report: remove the report for good. Its link dies with it. Your project and its data are untouched.
Layouts
When you create a report you choose the document the reader gets:
- The full report (the default): everything GEOflux measures, in the order that makes the case best.
- Short pitch: the shortest version that still makes the case: what AI answers instead, who is named in your place, and where that leaves the reader. For a first email to someone who has not asked for a report.
- Verdict first: opens on where the brand stands, then shows the two numbers behind it. For the reader who reads the first screen and forwards the rest.
- Against the competition: built around who else is in the answers: share of voice, the brands named alongside, how each is described, and the sites feeding it all.
- For their technical team: the half that gets acted on: whether the engines can read the site, which sources they cite instead, engine-by-engine numbers, and the raw answers.
- Custom layout: a frame to write into, with the cover, one visibility chart and the closing, and empty headings and paragraphs between them. Choosing it opens the editor straight away, and the button reads Create and write it.
Templates your team saved appear under Saved in this workspace. Select a layout and click Preview this layout to see it first.
The report editor
Edit layout opens the editor, where you add, remove and reorder sections, rewrite headings and text, and undo and redo. The toolbar also has:
- Templates: the shipped layouts and your team's saved ones.
- Save as template: keep this layout for other reports.
- Copy from another: start from another report's layout.
- Make a copy: duplicate the report.
- Start over: back to the standard document, after a confirmation.
- Open live: the report as the reader sees it.
Click Save to publish your changes to the same link.
Language
Choose English, Español or Română when you create the report. The language changes the document's own words: headings, labels, explanations. It never changes the numbers, or the prompts and answers, which stay as they were tracked.
What the reader sees
Anyone with the link can read the report. There is no sign-in and no way into your GEOflux workspace: the reader can open the sample answers to read them in full, with their citations, but cannot navigate into the app.
The report carries no GEOflux sales messages. It ends with a short "Measured by GEOflux" line and the period covered. Chart notes your team marked Show in shared reports appear read-only. Projects with Brand Perception also get a Brand perception section in the full report and in Against the competition.
How many reports you can have
| Plan | Shared reports per project |
|---|---|
| Free | 3 |
| Starter | 10 |
| Growth | 50 |
At the limit, creating another is refused with "This project already has N shared reports. Delete one before creating another." See Billing and credits.
Claiming a report
Some reports reach people who do not have a GEOflux account yet: a free report requested on geoflux.ai, or a report GEOflux sent to a business directly. Those reports offer the reader a way to claim it, which makes them its owner.
- The reader signs in or creates an account.
- They confirm their email address. Nothing can be claimed from an unverified address. For a free report requested on geoflux.ai, the link in the report email already proves the address.
- GEOflux checks the address against the report's brand:
- A work email on the brand's own domain, and nobody has claimed it yet: they become the owner of the report's project, on a card-free trial. It carries on collecting on the same prompts, and the link they were sent keeps working. For a free report requested on geoflux.ai, the trial counts from the day the report was created, so a report claimed more than 14 days later arrives with its trial already over.
- A colleague at the same company already owns it: they are told the project is already tracked and asked for an invite from that team.
- Any other address: they are offered to set up their own project instead (Get started).
A free report requested on geoflux.ai belongs to the address it was sent to, so the reader is asked to sign in with that address. The link must still be on to claim it.
Reports you create yourself, and pitch reports, never offer a claim or any sign-up prompt.
Good practice
- Use a custom date range for anything you report against: the baseline, each month, a before-and-after. A preset keeps rolling and the numbers you presented will not be there next month.
- One report per reader and purpose. A busy executive gets Verdict first, the web team For their technical team. Name each so you know who has which link.
- Mark the notes that explain the story with Show in shared reports, so the report answers "why did this move" without you in the room.
- Turn links off when an engagement ends, rather than deleting the report, so you can bring it back.
